What is business process automation?

Business process automation (BPA) means using technology to execute recurring business tasks with minimal human intervention. The goal is always the same: faster, more reliable, more scalable — and freeing up your people for work that actually requires human judgement.

Modern automation combines three layers:

RPA

Rule-based automation for structured, repetitive UI and data tasks. Fast to deploy, best for stable processes.

AI Automation

Handles unstructured data, emails, documents, images. Makes judgement calls. Recovers from variations.

Workflow Automation

Connects systems and steps: triggers, conditions, approvals, notifications — without manual handoffs.

Where to start

Processes with the highest automation ROI

Finance & Invoicing

  • Invoice capture and coding (OCR + AI)
  • Payment matching and approval routing
  • Automated reminders and dunning
  • Monthly close report generation

Email & Communication

  • Classify and route incoming emails
  • Auto-draft replies for standard requests
  • Trigger follow-up sequences
  • Summarise long threads for decision-makers

HR & Onboarding

  • Onboarding document collection and processing
  • Leave request handling and approvals
  • Contract generation from templates
  • Compliance checklists and reminders

Data & Reporting

  • Pull from multiple sources automatically
  • Generate and distribute daily/weekly reports
  • Alert on KPI deviations in real time
  • Sync data between CRM, ERP and databases

Customer Service

  • Ticket creation and first-level routing
  • FAQ auto-responses with knowledge base
  • SLA monitoring and escalation alerts
  • Customer satisfaction surveys triggered by events

Operations & Logistics

  • Order confirmation and tracking updates
  • Inventory alerts and reorder triggers
  • Maintenance scheduling from sensor data
  • Quality check logging and anomaly alerts
My approach

How we automate your first process

1

Automation audit (Week 1)

We map your top 5-10 manual processes, score them by volume × time × risk and pick the one with the clearest ROI. You get a written assessment with priorities and expected savings.

2

Design & build (Weeks 2-3)

I build the automation, connect the required systems and run a shadow-mode test alongside your current process. You validate the output before go-live.

3

Go-live & handover (Week 4)

The automation goes live with monitoring, alerts and documentation. Your team gets a short handover session. Exceptions and edge cases are reviewed and resolved iteratively.

About Me

Automation without bloated platforms

I'm Stani — senior developer and AI strategist based in Regensburg, Bavaria. I don't sell platform subscriptions or 6-month consulting engagements. I build focused automations that solve a real problem, measure the result and then move to the next one.

My clients are SMEs in Bavaria and across Germany who are tired of doing things manually that should have been automated years ago. We fix that — one high-leverage process at a time.

FAQ

Common questions about automation

What is the difference between automation and digitisation?

Digitisation means converting paper or analogue processes to digital. Automation goes further: it removes the human step entirely for routine cases. You can digitise without automating, but good automation builds on digitised inputs.

Do we need to replace our existing systems?

No. I build automations that connect to and extend what you already have — SAP, Datev, custom ERP, email servers, CRMs. We work with your existing stack, not against it.

What if the process changes after automation?

That's expected. We build automations with clear documentation and modular logic so adjustments take hours, not weeks. Monitoring surfaces when the automation needs updating.

How do we measure the ROI?

Before we start, we agree on baseline metrics: time per transaction, error rate, volume. After go-live we track the same metrics. Typical results: 60-90% time reduction for targeted processes within the first month.
